Scope of the Role: 

The role is primarily to provide administrative and organisational support to the Business Unit Director, Commercial Manager and Operations Manager. We are looking for a highly organised, motivated, and trustworthy individual who can work on own initiative in a fast-paced environment. 

This role will mainly involve tasks including, but not limited to, organising multiple events for the business throughout the year, booking department flights, organising administration and staff queries and reports surrounding this business area.

Key Responsibilities of the Role: 

  • Organising multiple company meetings and events throughout the year.
  • Provide an excellent and comprehensive administrative support to the Business Unit Director, Commercial manager and Operations Manager.
  • Collect and prepare information used for meetings such as agendas, briefing notes and presentations.
  • Plan, organize and manage multiple Manager’s flights for site visits.
  • Be the point of contact for any administration, staff/ payroll queries.
  • Plan, organize and manage multiple calendars (resolve overlapping commitments and protect time for priorities).
  • Manage records ensuring effective and efficient filing systems.

Essential Criteria for the Role: 

  • Proven experience as an administrative assistant supporting senior management in a busy office environment for 5+ years.
  • Must have experience in organising or coordinating both small and large scale company events.
  • Excellent working knowledge of the Microsoft Office suite – Outlook, Excel, Word, PowerPoint, OneNote, SharePoint.
  • Excellent verbal, written and interpersonal communication skills.
  • Excellent organizational, multi-tasking skills and dedicated to completing projects in a timely manner.
  • The confidence to effectively and professionally respond to all enquiries to the Senior Leadership team.
  • The ability to work on your own initiative and be an integral part of a busy team.
  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision.
  • Ability to take initiative and exercise good judgment, discretion and confidentiality in all tasks.
  • Ability to work in a fast-paced environment.
