We have a hybrid work model, where your time is split between working from home and in our Head office in Sandyford, Dublin. Reporting the Executive Office.



Key Responsibilities of the Role:

  • Attends meetings at the request of the senior management team, document minutes of the meetings and distribute minutes to all relevant parties
  • Manages reception, facilities, and canteen staff (approx. 5 employees)
  • Project Manage office space, oversee desk allocation and workplace planning requirements for all departments. Ensures that all employees have an appropriate environment to undertake their duties.
  • Project manage all required refurbishment and maintenance works.
  • Office Manager with overall responsibility for day-to-day operations of head office including managing, ordering, and procuring all office supplies.
  • Manages all facilities operations and contracts including but not limited to, cleaning, catering, waste and security contractors.
  • Co-ordinate, manage and order all office supplies
  • Assists senior management on sensitive/commercial tasks within the business
  • Organize and maintain data in spreadsheets; generate reports; organizes paperwork.
  • Other related administrative duties as required.
  • To manage all office systems, procedures and facilities to ensure the efficient and smooth running of the office
  • Oversees carpark management (swipe access, parking permits etc)
  • To continually seek out best practice and more efficient ways of working to enhance
  • office and general business efficiency.
  • Work with IT to ensure all IT supplies and hardware for head office departments is ordered on time.
  • Communicate with IT if replacements required
  • Manage all office related service agreements
  • To provide professional secretarial service to senior leadership team particularly in client correspondence and proposals, presentation preparation
  • Attending training and conferences as required
  • Provide direct administrative supports as needed, including scheduling appointments, meetings, events, booking travel, maintaining filing system, mailing and shipping packages and updating contact database and employee list
  • All other duties associated with this role.
  • Work in conjunction with HR to maintain office policies as necessary



Essential Criteria for the Role:

  • Proven experience as an office manager supporting senior management in a busy office environment for 5+ years
  • Qualification in Business, Level 5 or higher
  • Excellent working knowledge of the Microsoft Office suite – Outlook, Excel, Word, PowerPoint, OneNote, SharePoint
  • Excellent working knowledge of SAP
  • The ability to work with confidential information in a professional & trustworthy manner
  • Excellent organizational, multi-tasking skills and dedicated to completing projects in a timely manner
  • The confidence to respond to all enquiries effectively and professionally to the Senior Leadership team.
  • The ability to work on your own initiative and be an integral part of a busy team.
  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision
  • Ability to take initiative and exercise good judgment and be part of change management
  • Ability to work in a fast-paced environment and acting as the first port of call for staff where various issues may arise
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Experience with online platforms with aptitude to learn new software and systems as   required.
