The role:

The successful candidate will own the Administration of our Trades & our Apprenticeships Programme. The candidate will also have responsibility over Mercury’s relationship with SOLAS with a focus on new trades and apprentices’ entry into the business, their career development, SAP for HR administration and record keeping. 

 

Key Responsibilities and Deliverables 

Ownership and daily management of Mercury’s Trades’ administration & Mercury’s Apprenticeship Programme – registration, calls to tech, referrals, out of time and any other tasks related to the apprenticeships. 

 

Administration:

  • Carry out general administration tasks for the Apprenticeship Programme.  
  • Ensure the Apprentices’ HR files are up to date and well organised.   
  • Respond to reference requests for current or ex-members of staff in line with the Department.  
  • Ensure electronic and paper-based apprentices files are maintained and filing is completed in a timely manner.   
  • Responsible of all HR administration related to the Company’s apprentices across the Group.   
  • Maintain an up to date Procedures Manual for all HR Administration duties related to the Apprenticeships.   

 

HR Database and Reporting:  

  • Ensure that SAP accurately reflects current apprentices’ conditions and details. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sicknesses and other leave.   
  • Provide appropriate reports from SAP for auditing and monitoring apprentices’ data and training.   
  • Completing analysis of monthly HR metrics/dashboard and communicating findings with HR Manager.  
  • Working closely with the HR Business Partners and Payroll department communicating/administering any changes or benefits administration.   

 

General Duties:  

  • To have a duty of care to yourself and others regarding Health and Safety issues and ensure that the Company’s Health & Safety Policies and Procedures are implemented.  
  • Apprentices’ disciplinaries and grievances, performance management and any HR administration related IR issues.  
  • Absence management.  
  • To actively promote the Company’s policies, encouraging staff awareness and participation in all areas. 
  • Adhere to the Company’s Data Protection Policy and Procedure and ensure private and confidential data is kept secure and disposed of in the appropriate manner. 
  • To carry out duties pertinent to the scope of the post as directed by HR Management.  
  • As part of the HR Team, this role requires excellent teamwork and it is expected that your contribution to the team greatly supports the success of the team in supporting the business.   
  • Generate insights regarding current and future plans for our Apprenticeship Programme, liaise with HR management to ensure best in class programme.          
  • Liaise with the Payroll Department.  
  • Ensure all apprentices have their Terms and Conditions of Employment, issue contracts.   
  • Ensure all apprentices are onboarded correctly.   
  • Provide accurate and efficient HR advice to the business.  
  • Provide support to the other HR team members when required.   
  • Occasional site visits, attendance to recruitment fairs, promotional school and college visits.   
  • Other ad hoc HR duties as deemed appropriate by the HR Manager.  

 

Qualifications    

  • Proficient in MS software and SAP for HR.  
  • Membership of the Chartered Institute of Personnel and Development (CIPD) or equivalent experience and willingness to upgrade within the CIPD framework.   
  • 3rd level HR qualification desirable but not essential.   
  • Additional European language/s desirable but not essential.

  • Ability to work on own initiative and as part of a wider team.  
  • Proficient Microsoft Office skills.  
  • Able to demonstrate absolute confidentiality in relation to sensitive information.  
  • The ability to prioritise and manage own workload in a busy environment.    
  • An enthusiastic and effective team player with a proactive "can do" attitude.  
  • High attention to detail with the ability to produce highly accurate work under pressure and tight timeframes.
