Key Responsibilities of the Role:
- Administration: timesheet management, monitoring, and inputting hours on timesheets, compiling weekly and/or monthly timesheets for Payroll/site, liaising with site management/security regarding crew changes, missing swipes, etc. Reviewing the expenses of the team as the Business Unit Lead’s representative. Managing the smooth coordination between all stakeholders. Organising and maintaining data in spreadsheets, generating reports, organising paperwork and other related administrative duties as required.
- Office: controlling office supplies and consumables, placing orders to never run out of stock, in collaboration with the Procurement, Commercial and Logistics teams. Suggesting ideas to improve working environment, overseeing office space refurbishments and layout needs, ensuring all employees have an appropriate and pleasant environment to undertake their duties. Managing all office systems, procedures, and facilities to ensure the smooth running of the office.
- Reports: meticulously maintaining trackers of all kinds to be able to issue reports, statistics, trends, graphs, and charts. Attending meetings at the request of the Senior Management team, documenting minutes, and distributing them to all relevant parties.
- Onboarding: welcoming new hires and making sure communication before, during and after their recruitment is clear and thorough, informing newcomers of administrative requirements of their host city/country and helping them with their queries, introducing new employees to their team and explaining where to find the information they need regarding administration, the site team, or the company.
- IT: working with the IT team to ensure all IT supplies and hardware for the project are ordered on time, keeping track of the site’s IT stock, liaising with the IT team if equipment needs to be ordered or replacements are required; complying with company policies in terms of cybersecurity and data protection.
- Communication: facilitating communication between on-site teams and the project manager. Ensuring that information flows smoothly between all stakeholders. You will be the main person of contact between site and HR, Payroll, IT, Fleet. Assisting employees, management, and other departments on sensitive/commercial tasks within the business. Working in conjunction with HR to maintain office policies as necessary.
- Travel: Responsible for managing staff needs in terms of travel and accommodation; ensuring employee travel request forms meet established criteria, flight/hotel reservations within established budgets and company/project policies. Archiving of all bookings according to the system put in place by the administrative team in order to provide reports to Senior Management. Liaising with the Fleet, Tool and Plant team for transport needs from accommodation to site.
- Properties: Management of staff apartments; Sourcing accommodations for employees for the duration of the project, maintaining excellent communication with property agents and owners, ensuring that the management of accommodations and transport is done in the most efficient and practical way in terms of time and costs, liaising with the Finance and Commercial teams to allocate costs, liaising with the Legal team for lease reviews and validation.
- Innovation and Development: continually seeking out best practice and more efficient ways of working to enhance office and general business efficiency. Showing curiosity regarding the construction industry to be able to evolve within the company in other positions. Regularly undertaking trainings to develop skills and knowledge and promoting those trainings to other teammates.
- Event management: organizing monthly teambuilding activities in coordination with management and taking into account the project schedule and budget, organizing smaller and regular activities on site such as team breakfasts.
- HQ- Work in conjunction with HR to maintain office policies as necessary .
- Mental health and well-being: promoting mental health among the on-site workforce, i.e., awareness, support (willing to train to be a Mental Health First Aider), stigma reduction (open communication and encouraging seeking help when needed), resource referral (Mercury’s external Employee Assistance Programme).
- BU- Assists the business unit management on sensitive/commercial tasks within the business, incl. attendance meetings at the request of the senior management team, document minutes of the meetings and distribute minutes to all relevant parties. Manages holiday rotas for all senior staff on site.
- Manage the smooth running of the Administration, Payroll and Time Management team that will report directly.
- Organizes and maintains data in spreadsheets; generate reports; organizes paperwork and other related administrative duties as required.
- Manage all office related service agreements.
- To continually seek out best practice and more efficient ways of working to enhance office and general business efficiency.
- All other duties associated with this role.
Essential Criteria for the Role:
- Qualification in Business, Level 5 or higher
- Experience working in a busy construction environment.
- Excellent working knowledge of the Microsoft Office suite – Outlook, Excel, Word, PowerPoint, OneNote, SharePoint
- Excellent working knowledge of SAP
- Experience in processing high volume employee time management system
- The ability to work with confidential information in a professional & trustworthy manner.
- Excellent organizational, multi-tasking skills and dedicated to completing projects in a timely manner.
- The confidence to respond to all enquiries effectively and professionally to the Senior Leadership team.
- The ability to work on your own initiative and be an integral part of a busy team.
- Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision.
- Ability to take initiative and exercise good judgment and be part of change management.
- Ability to work in a fast-paced environment.
Desired criteria
- Proven experience as an administrative assistant supporting senior management in a busy office environment for 5+ years.
