The Business Unit Document Control Lead is responsible for overseeing document management processes across all projects within a specific business unit. They ensure compliance with company standards, client requirements, and industry regulations while driving efficiency, consistency, and best practices in document control. This role involves managing document control teams, developing streamlined workflows and collaboration as a team to ensure consistency across Mercury, and supporting digital transformation initiatives such as Autodesk Construction Cloud (ACC).

 

Key Responsibilities of the Role:

  • Develop and implement document control strategies for the business unit, aligning with company-wide policies.
  • Lead and manage document control teams across multiple projects, providing training, mentorship, and support.
  • Ensure document control processes are efficient, scalable, and aligned with ISO 19650, company standards, and project-specific requirements.
  • Act as the primary point of contact for document control-related matters within the business unit and with Group Information Manager.
  • Oversee the use and optimisation of document management systems such as Autodesk Construction Cloud (ACC) & BIM360.
  • Work closely with Information Management  to implement new technologies and automation for document control.
  • Ensure metadata, naming conventions, and workflows are consistently applied across all projects within their BU.
  • Monitor and enforce compliance with document control policies, procedures, and contractual obligations.
  • Conduct regular audits to ensure document control accuracy, completeness, and adherence to regulatory requirements such as ISO19650.
  • Support project teams in ensuring timely submission and approval of key project documents (e.g., RFIs, drawings, O&M manuals, as-builts).
  • Stakeholder Engagement & Training
  • Collaborate with project managers, information managers, and clients to ensure document control aligns with project needs.
  • Develop and deliver training programs for document controllers and project teams on best practices and system usage where applicable.
  • Provide guidance on document workflows, transmittals, approvals, and version control to improve project efficiency.
  • Establish KPIs for document control performance and regularly report on progress.
  • Identify areas for process improvement and work with Group Information Manager to enhance efficiency and accuracy.

 

Key Skills & Competencies:

  • Strong leadership and team management skills.
  • Expertise in document management systems (Autodesk Construction Cloud, BIM360, Procore Aconex, Viewpoint, etc.).
  • Knowledge of construction industry standards, including ISO 19650,
  • Ability to develop, implement, and enforce document control procedures.
  • Excellent communication skills to engage with project teams, senior management, and clients.
  • Analytical mindset with attention to detail for auditing and process improvement.
  • Strong problem-solving skills to address document control challenges.

 

Qualifications & Experience

  • 7+ years of experience in document control within the construction or engineering sector.
  • Experience managing teams and implementing document control strategies across multiple projects.
  • Proficiency in digital document management platforms and collaboration tools.

 

Desirable Criteria:

  • Bachelor’s degree in Information Management, Construction Management, Engineering, or a related field (preferred).
  • Good knowledge of Autodesk platforms.
