Key Responsibilities of the Role:

Document Management

  • Control the creation, review, approval, issuance, and archiving of documents.
  • Maintain document registers and filing systems (electronic and hard copy)
  • Ensure current revisions are available to technicians, supervisors, and clients
  • Remove obsolete documents from circulation and retain them according to retention policies.
     

Maintain records of:

  • Planned Preventive Maintenance (PPM)
  • Corrective maintenance reports
  • Inspection and testing certificates
  • Defect reports
  • Asset registers
  • Service reports and work orders

 

Compliance & Certification Management

  • Track statutory inspection certificates and compliance documentation.
  • Ensure records comply with relevant standards, such as:
    - IS 291 (Ireland)
    - EN Standards
    - NFPA Standards (where applicable)
    - Local fire authority requirements
  • Maintain audit-ready documentation for internal and external inspections.

 

Revision and Change Control

  • Monitor document revisions and version control.
  • Record and communicate changes to maintenance procedures, drawings, specifications, and customer requirements.
  • Maintain document change logs and approval records.

 

Drawing and Technical Documentation Control

  • Manage fire system drawings, including:
    - Fire alarm layouts
    - Sprinkler system drawings
    - Gas suppression layouts
    - Cause and effect matrices
    - As-built drawings
  • Ensure field teams are working from the latest approved versions.



Client Documentation Support

  • Prepare and issue reports to clients.
  • Compile maintenance service packs and compliance reports.
  • Support contract handovers and project close-out documentation.
  • Respond to document requests from customers and auditors

 

Data Entry and System Administration

  • Update CMMS, CAFM, SharePoint, or other maintenance management systems.
  • Monitor document workflows and approval status.
  • Generate reports and KPIs relating to document processing and compliance.



Audit Support

  • Prepare documentation for:

    ISO 9001 audits
    ISO 45001 audits
    ISO 14001 audits
    LS 1048
    NFPA
    Client compliance audits
    Fire safety inspections

 


Liaise with:
- Maintenance Managers
- Service Coordinators
- Fire Protection Technicians
- Compliance Managers
- Customers
- Regulatory bodies


 

Essential Criteria for the Role:

  • Strong document control and administrative skills.
  • Knowledge of maintenance processes
  • Proficiency in Microsoft Office, SharePoint, and document management systems.
  • Excellent attention to detail.
  • Strong organisational and communication skills.
  • Understanding of quality management and compliance requirements.
