Scope of Role:

The Agency labour coordinator will be responsible for overseeing all aspects of the Mercury’s Agency Labour Process, from sourcing of Agency providers, system setup of personnel right through to ensuring weekly and tasks are performed accurately and on time by Time Administrators

 

Key Responsibilities of the Role:

  • Working alongside Procurement Team in identifying and vetting Agency labour providers and ensuring that they meet required Mercury standards to ensure they are fully compliant.
  • Working closely with Agency Labour Buyer in helping standardise and agree Agency labour rates with providers.                                                                                                      
  • Work closely with Irish, UK & European Projects in identifying current and upcoming Agency labour requirements, quantifying different types of labour required at the start and during different stages of the Project lifecycle.
  •  Liaising with Project teams on a regular basis to deal with Agency labour requests, then sourcing the required agency personnel from Mercury approved Providers
  • Managing every aspect of Agency labour onboarding and off hire process, including, personnel details, start dates, and communicating the information to Project Time Administrators.
  • Responsible gathering required personnel information and system setup of each Agency person.
  • Working closely with Site Time Administrators to ensure efficient and accurate entry and approval of agency labour timesheets.
  • When issues arise, working with Agency labour providers, Mercury Time Administrators and Account Payable team in identifying the problem and overcoming it in a timely and efficient manner.
  • Travel to existing and new Mercury Projects across Europe to conduct onsite training for Agency Time Administrators.
  • Taking ownership of Agency Labour Process and ensuring standardised procedures are being adhered to across Mercury Group.
  • Responsible for logging Agency labour IT system issues with SAP Support team when they arise, and work with IT Support in helping them overcome system issues.
  • Provide Weekly Status Reports and metrics to senior stakeholders.

Desirable Criteria:

  • Previous experience coordinating agency labour / contingent workforce (onboarding, off-hire, and rate management).
  • Experience working with Procurement, Accounts Payable, and site/project teams to resolve timesheet and invoicing queries.
  • Knowledge of SAP (or similar ERP/time & attendance systems) including user setup, troubleshooting, and data accuracy checks.
  • Strong Excel skills (e.g., pivot tables, lookups, and data validation) for reporting, metrics, and reconciliation.
  • Experience producing KPI dashboards / status reports for senior stakeholders (headcount, spend, compliance, and cycle times).
  • Experience delivering training to administrators/users (in person and remotely) and creating simple process guides/SOPs.
  • Familiarity with labour compliance requirements in Ireland/UK/EU (e.g., right to work checks, data privacy, and record keeping).
  • Previous experience in a project-based construction/engineering environment with multiple live sites.
