Key Responsibilities of the Role:  

  • Responsible for managing staff needs in terms of travel and accommodation.
  • Manage the smooth running of the Administration, Payroll and Time Management team that will report directly.  
  • Co-ordinate, manage and order all office supplies.  
  • Manages holiday rotas for all senior staff on site. 
  • Work with IT to ensure all IT supplies and hardware for the project are ordered on time.  
  • Support operational processes: Actively supporting the higher management of the Business Unit and continuing to strengthen the relationships between the project teams and Group Support Departments. 
  • Support project teams with setups: This includes dealing with local authorities, initiating contact with local subcontractors, and taking ownership of tasks involving FTP, IT, and Branding so that project teams can focus on clients and construction. 
  • Provide training and standardization: Developing guidance for site admins, streamlining administrative processes, and creating a “Site Set-Up Handbook” to ensure head office procedures are effectively communicated and followed. As you know, I have developed onboarding handbooks for new starters for each country. I am also finalising my onboarding handbook for site admins and am working on a "Site Set-Up Handbook" for project teams. 
  • Anticipate bottlenecks: Addressing potential workflow issues early to prevent delays or additional costs. Example being project teams not following Mercury procurement procedures, resulting in delays with deliveries and payment to suppliers/subcontractors which can lead to damaged B2B relationships. 
  • Contribute to procurement KPIs: Leveraging SAP knowledge to ensure compliance with GRN processes and proper requisition standards. 
  • Support the Managing (MD) and Operations Director (OD)with day to day running of the BU
  • To provide professional secretarial service to senior leadership team particularly in client correspondence and proposals, presentation preparation.  
  • Setting up Sharepoints for BU documentation.
  • Developing and implementing BU reports to the MD and OD.
  • Ensuring Openspace is setup in a timely manner for project startups.
  • Liaising with local authorities (TUV and advisory authorities)
  • Tracking minutes and actions of the monthly BU meetings.
  • Run the BU culture surveys.
  • Assist the projects with staff recognition night outs.
  • Manage the BU administrators.
  • Expenses compliance review’s
  • Manage all accommodation and car hire in the BU.
  • Work in conjunction with HR to maintain office policies as necessary.
  • All other duties associated with this role.  

 

Essential Criteria for the Role:  

  • Proven experience as an administrative assistant supporting senior management in a busy office environment for 5+ years. 
  • Qualification in Business, Level 5 or higher 
  • Experience working in a busy construction environment. 
  • Excellent working knowledge of the Microsoft Office suite – Outlook, Excel, Word, PowerPoint, OneNote, SharePoint 
  • Excellent working knowledge of SAP 
  • Experience in processing high volume employee time management system 
  • The ability to work with confidential information in a professional & trustworthy manner. 
  • Excellent organizational, multi-tasking skills and dedicated to completing projects in a timely manner. 
  • The confidence to respond to all enquiries effectively and professionally to the Senior Leadership team. 
  • The ability to work on your own initiative and be an integral part of a busy team. 
  • Ability to effectively manage time, prioritize tasks and work within deadlines with little supervision. 
  • Ability to take initiative and exercise good judgment and be part of change management. 
  • Ability to work in a fast-paced environment.
