Scope of Role:

As a key member of the Material Management team, you will provide essential administrative and coordination support to ensure full project adherence to Group Procedures. This role is critical in maintaining compliance, efficiency, and accuracy across material-related processes, vendor management, and reporting. 

 

Reporting Structure:

Reports directly to the Group Materials Manager and works closely with Material Management Specialists and Procurement leadership

 

Location & Travel

Primary Location: Dublin Office 

Work Arrangement: Office-based  

Travel: Occasional site visits may be required to support project close-out or training initiatives.

 

Key Responsibilities:

  • Vendor & Service Support
  • Provide direct administrative support for critical vendor services, including Waste and Scrap management.
  • Process all required Waste and Scrap requisitions accurately and in a timely manner.
  • Collate and share Waste and Scrap reporting data with senior procurement management on a monthly basis.
  • Maintain and update internal trackers to ensure accurate and current information.
  • Cross-check and complete all Waste service entries for compliance and accuracy.
  • Advise new projects on established vendors and processes, offering guidance to resolve issues promptly.

 

Risk Analysis & Training

  • Collaborate with the Group Material Manager and Specialists to analyse historical Waste & Scrap reporting, identifying high-risk projects and users for targeted training and support.
  • Conduct pre-checks for projects and users deemed high-risk based on GRN KPI reporting, providing clear analysis and actionable instructions.
  • Deliver weekly team-based training sessions via Microsoft Teams on GRN compliance and other key Material Management processes.

 

Project Support

  • Act as a VIM administrator for projects during close-out phases when administrative staff are unavailable.
  • Provide coverage for key vendor accounts managed by other team members to ensure continuity of critical services.
  • Serve as a back-office support contact for Mercury personnel, addressing general Material Management queries.
  • Manage shared Material Management email inboxes, ensuring timely and professional responses.
  • Liaise with the IT department to maintain critical IT accounts and services essential for Material Management operations.
  • Perform any other ad hoc duties as directed by senior procurement management.

 

Skills & Competencies:

  • Attention to Detail: Maintain accuracy in data entry, reporting, and compliance checks.
  • Organisational Skills: Manage multiple tasks, priorities, and deadlines effectively.
  • Communication Skills: Clear and professional communication with internal teams and external vendors.
  • IT Proficiency: Competent in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with ERP systems (e.g., SAP, VIM).
  • Analytical Thinking: Interpret data and identify trends for risk analysis and process improvement.
  • Problem-Solving: Proactive approach to resolving issues and supporting projects under pressure.

 

Qualifications:

  • Previous experience in an administrative role, preferably within procurement, materials management, or construction.
  • Knowledge of waste management processes and vendor coordination is an advantage.
  • Familiarity with GRN (Goods Receipt Note) processes and compliance requirements.
